Booking & Confirmation

To ensure smooth planning and availability, clients are required to confirm their booking at least 10–15 days prior to the event date.

  • A 50% advance payment is mandatory to secure and block the event date.
  • Bookings will only be considered confirmed after receipt of the advance payment.
  • Remaining payment terms will be communicated at the time of booking confirmation.

Robot Functionality & Performance

Our robots are designed to deliver highly engaging and interactive experiences. However, certain functionalities depend on external factors.

  • Robot performance and interaction quality may vary based on internet connectivity at the venue.
  • While core activities are pre-configured, some advanced features (such as real-time responses or AI-based interactions) require stable internet access.
  • Flagship will guide clients in advance regarding technical requirements for optimal performance.

Deployment & Supervision

To ensure safety, performance, and proper handling:

  • All robots will be deployed only along with trained Flagship team members/operators.
  • Robots will not be provided on a standalone basis without supervision.
  • Our team will manage operation, interaction, and overall execution during the event.

Logistics & Operations

Flagship ensures professional execution and smooth coordination.

  • Transportation and accommodation of the Flagship team will be managed by the company unless otherwise agreed.
  • Setup and dismantling of robotic systems will be handled by our team.
  • Clients are expected to cooperate with on-site coordination requirements.

Venue Requirements (Client Responsibility)

To ensure safe and effective operation of robots, the client must provide:

  • A stable power supply at the venue
  • Adequate and safe operating space for robot movement and interaction
  • A controlled environment free from hazards that may affect equipment performance

Failure to meet these requirements may impact the quality of the experience.

Damage & Liability

Robots and equipment are highly sensitive and valuable assets.

  • Any damage caused due to mishandling, negligence, or unsafe conditions at the venue will be chargeable to the client.
  • The client is responsible for ensuring that guests, staff, or third parties do not interfere in a way that may harm the equipment.
  • Flagship reserves the right to assess and claim compensation for any damages incurred.

Event Changes & Communication

Proper communication is essential for seamless execution.

  • Any changes related to event schedule, timing, or venue must be communicated at least 48 hours in advance.
  • Last-minute changes may impact execution and are subject to feasibility.
  • Flagship will not be responsible for disruptions caused due to delayed or incomplete information.

Media Usage & Rights

Flagship may capture photos and videos during the event for documentation and promotional purposes.

  • By default, the client grants permission for such content to be used in marketing, social media, and promotional materials.
  • If the client does not wish to allow this, a written request must be submitted prior to the event.

Permissions & Compliance

Clients are responsible for ensuring all necessary approvals are in place.

  • The client must obtain any venue permissions, security clearances, or approvals required for robot deployment.
  • Flagship will not be liable for delays or restrictions due to lack of permissions.

General Terms

  • All services are subject to availability and confirmation.
  • Flagship reserves the right to make necessary adjustments to ensure safety and smooth execution.
  • By confirming the booking, the client agrees to all terms and conditions stated above.
